SUBJECT LINE: BUDGET UPDATE REQUESTED – Spring Concert / Suspense 10 May 2019

SUSPENSE: By Friday, 10 May 2019.

I have attached an Excel that holds all the key Spring Concert budget items.
It is formatted in the Statement of Activity by Class format, which is the NEW Org Budget Tool format. It is how we will work S31 Budget Creation.

Some Guide Notes:
1. You MUST review it in Excel to see all the notes boxes that have been exposed. There are other notes boxes in cells with a little red triangle in the upper right comer of the cell, that you can put your curse on to see the note.
2. All columns in WHITE are executed transactions in QB (paid already, or Invoice/Bill received and set-up for payment by 30 May 2019)
3. All columns in YELLOW are still pending…. or worse, still just a guess.

4. By Committee:
a. The Big 3 (Artistic, Production, and Marketing) – focus on columns “N” & “O”
b. FDO – focus on columns “Q” & “R”
c. Membership Services – Focus on “N” & “O” as your actions are line items associated with a programming event and not the chartered function of the Membership Services Committee or a social event.
d. Fund Development – Focus on columns “AG” & “AH”
e. Board of Directors – There are a few General Liability OPEN issues that need resolved and WILL effect the Budget (see column O, row 109 & Funds Development Section below).

Special Note: there are a lot of columns and rows that are hidden. The tab is not locked or protected so you could un-hide all of it, but that gets even messier to review.

UPDATE NEEDED BY EACH COMMITTEE:
Artistic:
1a. Essentially Artistic Committee is done (rows 96-101).
1b. Please validate the data for Pending.
2. Costumes (row 122) – are we done with costume purchases?
3. Performance Space Props (row 124) – I have heard of ZERO.
4. Rehearsal Space (not shown) is completed….. YES?

Production:
Please refer to the following line items and the notes….
Row 107 – 60500 · Contract Labor-Technical Staff
Row 117 – 62220 · Lighting Equipment (rental)
Rows 122 & 124 mentioned in Artistic, as they are the driver for these requirements.

Marketing:
Please refer to the following line items and the notes….
Row 137 – 63200 · Advertising (Social Media)
Row 140 – 63300 · Posters, Banners, Signs
Row 143 – 63500 · Promo Gift Expense
Row 146 – 63700 · Photography
Row 147 – 63800 · Recording Services (Promo/CDs)

FDO:
1. Essentially FDO Committee is done (row 113 ONLY).
2. FDO could seek other expenses in their lane for this concert, but I would highly discourage any adds or changes this late in the process.

Membership Services:
Based on multiple email threads, for an actual concert, Membership Services is responsible for Green Room/Guest Performer’s Dressing Room refreshments and any performer flowers, etc for post performance.
Row 130 – 62510 · Catering (Membership Related)
Row 131 – 62000 · Event – Production – Other
NOTE: I would really appreciate some actual estimates of the expenses for these 2 line items.

Funds Development:
Right now I am more concerned about the EXPENSES. Any Income/donations is gravy for this Budget exercise, but the first 2 line items are on the Income side and are relational to the expense line item.
Row 31 – 43455 · In-Kind – Goods (Other)
Row 56 – 44430 · Corp Underwriting (Fundraising)
Row 129 – 62500 · Catering (Patron Related) (FDO)
KEY NOTE: If we have been given permission for food and wine at Bates, are we required to have a Liquor Liability waiver on our General Liability Insurance?

Board of Directors:
Besides the General Liability issue in Row 109 & stated above in the Funds Development section, please review the travel expenses in Rows 209 – 228.
